WhatsApp Business for Small Shops: A Practical Setup Guide

Most of your customers already live on WhatsApp. Here is how a small shop, clinic or service business can set up WhatsApp Business properly, from the profile to the catalogue to quick replies.

If you run a small business in India, a large part of your sales conversations already happen on WhatsApp. Customers ask for prices, send photos, confirm orders and ask "are you open today?". The problem is that most owners use their personal WhatsApp for all of this, and lose track of who asked what.

WhatsApp Business is a free app made for exactly this. Here is how to set it up so it saves you time instead of adding work.

Use a separate number if you can

Keep your personal chats and your business chats apart. If possible, use a dedicated number for the business, so customers never see your family photos and you can hand the phone to a staff member without worry. If you only have one number, WhatsApp Business can still run on it, but then your personal chats move to the business app, so think before you switch.

Step 1: Build a proper business profile

Your profile is the first thing a new customer sees. Fill in:

  • Business name exactly as it appears on your shop board
  • A clear profile photo, usually your logo or shop front
  • A short description of what you sell or do
  • Your address, with a map link
  • Opening hours, including your weekly off day
  • Your website or social page, if you have one

A complete profile makes you look like a real, trustworthy business, which matters when a stranger is deciding whether to send you money.

Step 2: Add a catalogue

The catalogue lets customers browse what you sell inside the chat. Add your main products or services with a clear photo, a name, a short description and a price if you are comfortable showing it. Even ten well-photographed items are better than nothing, and customers can send you a product straight from the catalogue when they ask a question.

Step 3: Set up the three automatic messages

WhatsApp Business has three small automations that save a lot of typing:

  • A greeting message that goes out when a new customer writes to you for the first time
  • An away message that replies when you are closed or busy, saying when you will be back
  • Quick replies, which are saved answers you can insert by typing a slash and a short word, such as one for your address, one for your price list and one for your payment details

Keep the messages short, polite and human. A greeting like "Namaste, thank you for contacting us. Tell us what you are looking for and we will reply shortly" works better than a long paragraph.

Step 4: Use labels to track customers

Labels are coloured tags you attach to chats, such as New enquiry, Waiting for payment, Order confirmed and Delivered. Once you use them, you can open one label and see every customer in that stage. This is a simple, free way to stop enquiries getting lost.

Step 5: Share a click-to-chat link

You can create a link that opens a WhatsApp chat with your business number. Put it on your Google Business Profile, your website, your Instagram bio, your bills and your posters. Customers tap once instead of saving your number and typing a message.

Do not spam your customers

Broadcast lists let you send one message to many people, but it only reaches the people who have saved your number, and constant promotions will get you blocked or reported. Send an offer only when there is something genuinely useful to say, and let customers leave easily if they want to.

When the free app is not enough

If you answer dozens of messages a day, hire staff to answer them, or want an automated assistant, the free app starts to feel tight. At that point a business can move to WhatsApp's business platform, which connects to a CRM and allows chatbots and several agents on one number. It involves an approved provider and costs money, so move to it only when the volume justifies it.

Common mistakes

  • Replying only at night, so customers go to a competitor who answered in minutes
  • Sending long voice notes instead of short, clear text
  • Forgetting to save contact names, so you cannot tell who is who
  • Sharing a customer's number or details without permission
